Los Angeles

california event insurance

A Region of Glamour and Creativity
Los Angeles hosts events at some of the most iconic venues in the world, and our coverage meets the requirements of virtually all of them. Luxury hotels like The Beverly Hills Hotel and The Hollywood Roosevelt typically require $1M/$2M liability with same-day certificate delivery – we provide both. Cultural institutions each name their own entity. Certificates for The Getty Center name The J. Paul Getty Trust, while LACMA’s name Museum Associates, the nonprofit that operates the museum, not the City of Los Angeles. Griffith Observatory does not host private rentals, so no certificate applies there. Ask your venue for its exact Additional Insured wording and we will match it at no extra cost.

Most LA venues require $1M per occurrence / $2M aggregate liability
coverage with the venue named as Additional Insured.

  • City & County Parks
Griffith Park and other City of Los Angeles parks are permitted through Recreation and Parks, which requires a certificate naming “City of Los Angeles and its Agencies, Boards and Depts.” as Additional Insured. The Municipal Code sets a 45-day filing window for most park events, so apply early. Exposition Park is state-governed and LA County beaches are run by the County, each with its own permit office and its own wording, so confirm the requirement with whoever issues your permit. Our COIs carry the exact wording each office requires.
  • Hotels & Private Venues
The Beverly Hills Hotel, The Hollywood Roosevelt, Dodger Stadium, and Arts District venues like City Market Social House typically require same-day proof of insurance. Purchase online and email your certificate to your venue coordinator within minutes.
  • Museums & Cultural Venues
The Getty Center, Griffith Observatory, and LACMA require liability coverage plus venue-specific Additional Insured endorsements. We provide these at no extra cost.
  • Large Events (500+ attendees)
Festivals, film premieres, and stadium events may require higher limits ($5M+) and additional coverages. Call us for custom quotes.

Our coverage meets 99.9% of Los Angeles venue requirements.

San Francisco

A City of Strict Permits and Historic Venues
San Francisco’s best-known event sites sit on four different kinds of land: city park, Port tideland, federal property, and private leasehold. The permit desk you deal with decides your limits, your deadline, and the exact wording on your certificate, and a certificate written for one of them gets rejected at the others.

Limits here run higher than most of California, and three of the four authorities publish no aggregate figure at all:

  • City Parks (Recreation & Park Department)
Golden Gate Park, the Conservatory of Flowers, and the Palace of Fine Arts grounds and Rotunda are permitted by SF Recreation & Park. Apply at least 60 days ahead, and no more than a year out. Coverage must be not less than $2 million in single limits covering physical injury, property damage and personal injury, and the additional insured has to read “the City and County of San Francisco and the Recreation & Park Department and its agents, employees and commissioners.” A certificate naming only the City and County is not compliant. Insurance can be waived for rallies, marches and protests under the City’s First Amendment provisions. San Francisco insurance requirements for special event permits
  • Port of San Francisco Waterfront
Events on Port property need the application and site plans 120 calendar days ahead, with fees due 30 days out. The Port publishes general liability as a range, not a fixed number: not less than $1 to 5 million depending on the nature of the event, plus auto and workers’ compensation at not less than $1 million each. Both an additional insured endorsement and a waiver of subrogation are required, and the additional insured must name three parties: “City and County of San Francisco, the San Francisco Port Commission, and their Officers, Directors, Employees, and Agents.” Events within 100 feet of the Bay shoreline need 45 days’ notice, and Embarcadero and pier events may also require a BCDC permit.
  • The Presidio (Federal Land)
The Presidio is managed by the Presidio Trust, not the City, and this is where certificates most often get rejected. The Trust requires not less than $1,000,000 per occurrence, and the additional insured must name “the United States of America, the Presidio Trust, and its officers and directors, and any additional parties specified by the Trust.” Naming the Trust alone is not enough, and a City of San Francisco certificate is no use here at all. Evidence of insurance is due 60 days ahead, caterer insurance 90 days, and liquor liability evidence 30 days. Trust-permitted sites include the Tunnel Tops lawns, Graham Street Lawn, the Civil War Parade Lawn and the Main Parade Lawn, with capacities from 150 to 6,000. Presidio lawn rentals and special use permits
  • Privately Operated Landmarks
Several of the city’s signature venues sit on public land but are leased to private operators, so your certificate goes to the operator under its contract and the public agency’s rules do not apply. The Ferry Building has been under a Hudson Pacific Properties ground lease since 2018. The Golden Gate Club, the Log Cabin and the Chapel of Our Lady in the Presidio are managed by Wedgewood Weddings & Events. The Palace of Fine Arts Theatre building is operated separately from the Rec & Park grounds around it, so a Rotunda ceremony and a theatre booking are two different permits. Always ask who holds the lease before you buy.
  • Hotels, Moscone, and Corporate Venues
At The Fairmont, Moscone Center, Oracle Park and similar venues the requirement comes from the rental or license agreement rather than a permit office, and corporate risk managers often ask for higher limits than a city park would. Get the insurance exhibit from your contract before you quote, and we can write to it.

We carry the exact additional insured and waiver of subrogation wording each of these authorities requires, including the federal wording for Presidio permits.

San Diego

Coastal Permits and Venue Compliance

San Diego’s mix of public beaches, historic naval vessels, and convention centers creates a complex liability landscape. Whether you are hosting a trade show at the Convention Center or a wedding at Balboa Park, you will likely need a Certificate of Insurance (COI) that meets strict City of San Diego or Port of San Diego standards. Our policies are pre-approved to meet these specific municipal requirements.

Common San Diego Venue Requirements:

  • Balboa Park & City Parks
Events in Balboa Park (including the Prado and Organ Pavilion) require a permit from the City of San Diego Parks & Recreation. You must provide a COI with a specific “Additional Insured” endorsement naming the “City of San Diego.” Limits scale with attendance: $1 Million per occurrence / $2 Million aggregate for events under 10,000 people, and $2 Million / $4 Million at 10,000 or more. If alcohol will be served, the City also requires $1 Million in liquor liability.

  • Port of San Diego (Waterfront Venues)
Venues along the bay, such as The USS Midway Museum and Embarcadero Marina Park, fall under the jurisdiction of the San Diego Unified Port District. These venues enforce strict “Premises Liability” rules. Your policy must include a Waiver of Subrogation in favor of the Port District to secure your event permit.

  • Historic Hotels (Hotel del Coronado)
The Hotel del Coronado is a historic wooden structure with rigorous fire and vendor safety protocols. Outside vendors (DJs, Florists) are rarely allowed on property without proof of $1M – $2M Liability Insurance. We offer a “Blanket Additional Insured” feature that covers the hotel and its management company on a single certificate.

  • San Diego Convention Center
Exhibitors and event organizers at the Convention Center are contractually required to carry Commercial General Liability (CGL) coverage. Standard homeowner policies are not accepted. Our commercial-grade policies meet the specific indemnification clauses found in the Convention Center’s rental agreements.

Napa Valley

california event insurance

A Region of Vineyards and Elegance
Napa Valley has more permit-issuing authorities per square mile than anywhere else in California. A vineyard estate, a city park in Napa, a county road closure, and the Expo grounds are four different jurisdictions with four different certificates, and the winery next door to yours may operate under rules yours doesn’t have.

Most Napa venues require $1M per occurrence / $2M aggregate liability, but the public agencies here ask for more. Who issues your permit decides your limits:

  • Wineries and Vineyard Estates
Napa County does not set winery event rules county-wide. The number of events per year, guest counts, and hours are written into each winery’s individual use permit, which is why two neighboring wineries can give you completely different answers. Many permits do not allow weddings at all: Castello di Amorosa states plainly that its permit bars weddings, vow renewals and receptions. V. Sattui Winery and Charles Krug Winery do host weddings and publish their capacities. Insurance requirements at any winery come from that venue’s own contract, so ask for the certificate requirements in writing before you book. Napa County Code 18.08.370
  • City of Napa Parks and Streets
Events at Veterans Memorial Park, Oxbow Commons and Opera House Plaza require a City special event permit filed at least 90 days ahead, with $2,000,000 per occurrence / $4,000,000 aggregate liability. The additional insured must read “The City, its officers, elected or appointed officials, employees, volunteers, and agents,” and your policy must be primary. Selling or serving alcohol adds $1,000,000 / $2,000,000 liquor liability. Oxbow Commons needs a second certificate naming the Napa County Flood Control & Water Conservation District. City of Napa special event permits
  • Yountville, St. Helena and Calistoga
Each sets its own terms. Yountville requires $2,000,000 property damage and $4,000,000 general liability naming “the Town of Yountville, its employees, officers and/or officials, agents, and volunteers,” with the certificate and endorsement due 15 days out and the application 30 days ahead for minor events, 120 for major ones. Calistoga requires not less than $1,000,000 naming “City of Calistoga, including its elective and appointive boards, commissioners, officers, agents and employees,” filed 45 days ahead, with liquor liability added if alcohol is sold or served. St. Helena publishes no special event insurance figures at all, so contact the City before you buy. Calistoga permit information
  • Unincorporated Napa County
Events on county land need a Temporary Events License filed 60 days ahead, and no application is accepted inside 50 days. The County sets the liability limit case by case through its risk manager rather than publishing one, but $1,000,000 liquor liability is required whenever alcohol is served, and you must sign an indemnification agreement. Gatherings of 50 or fewer people per day, held between 8:00am and midnight with no outdoor amplified sound, need no license. Closing a county road for a parade or race is a separate permit: $1,000,000 naming the County and its officers, employees and agents, filed 90 days ahead. Napa County roadway events
  • Regional Parks and the Napa Valley Expo
The Napa County Regional Park and Open Space District may require $1,000,000 naming “Napa County Regional Park and Open Space District” as additional insured by separate endorsement, filed 30 days before the event, with applications due no later than 60 days out. A certificate alone is not accepted there. The Napa Valley Expo is a California state entity, the 25th District Agricultural Association, and state rental agreements name both the association and the State of California, so expect both on your certificate and confirm the exact wording with the Expo office. Park District special event permits

Our certificates carry the exact additional insured wording each of these offices requires, including second certificates where a venue needs one.

CALIFORNIA-SPECIFIC INSURANCE CONSIDERATIONS

Serving free alcohol needs no license – selling it does.

California’s ABC licenses the sale of alcohol, not the pouring of it. Buy the alcohol yourself in advance, serve it free to your guests, and hire a bartender for services only, and no ABC license is involved. The bartender can be paid hourly or a flat fee, bring equipment, and take tips, but cannot bring the alcohol or charge by the glass. What breaks it: any money connected to alcohol, including a door charge, pre-sold tickets, or admission to the event. ABC treats charging entry to an event where alcohol is served as a sale, which catches many fundraisers, galas, and parties off guard.
Learn more: California ABC Licensing FAQ

Who can get a one-day liquor license? Nonprofits – nobody else.

California’s daily licenses ($50 to $75 per day) are issued only to qualified nonprofit organizations for fundraising events, filed at least 10 days ahead. Since July 2022, a nonprofit holding one must keep an RBS-certified server onsite wherever alcohol is being served. Private individuals and for-profit companies don’t appear on ABC’s eligibility lists. Their routes are: serve free and sell nothing; hire a caterer with a Type 58 permit, who gets ABC’s per-event authorization and must use RBS-certified staff; or hold the event at a venue with its own license. If money will touch alcohol at your event in any form, talk to your caterer and an insurance specialist first. It changes your legal status and which coverage applies.
Learn more: ABC License Types | Caterer’s Permit

California law protects hosts, but only up to a point.

A private host who serves alcohol to adult guests generally isn’t civilly liable for what a guest later does; the narrow exception involves knowingly furnishing alcohol to someone under 21. Two things survive that protection: serving an obviously intoxicated person is a misdemeanor for everyone, not just licensees, and immunity doesn’t stop you from being named in a lawsuit. That, not any statute, is why venue contracts require host liquor liability coverage. No California law requires event insurance; the requirement always comes from whoever owns the ground you’re standing on, which is why the amounts change from venue to venue, city to city, and park to park.

Holding your event on public land? The permit office sets the insurance terms.

California State Parks: special-event permits run through each district, and fees and lead times differ, so confirm with the district office. The additional-insured wording is standardized, and a certificate may be required for groups of 20 or more. Application info

National parks each publish their own terms. Yosemite’s special-event permits, for example, run $100 to $150, must be filed 21 to 30+ days ahead, and where insurance is required it’s $1M per occurrence/$2M aggregate naming “The United States of America, Department of Interior” as additional insured or certificate holder. If alcohol will be served under a permit, the park itself requires a host liquor or liquor liability endorsement. Other parks charge different fees, and some require no insurance at all, so never assume one park’s rules work at another. Events at concessioner-run facilities (hotels and restaurants inside parks) are booked on the concessioner’s own insurance terms, not the park’s.

City parks, fairgrounds, and civic venues work the same way: the permit or rental contract names the required limits and additional-insured wording. Read it before you buy, and match your certificate to it exactly.

Wineries and private venues: insurance requirements come from the venue’s contract, but ask about their use permit too. Many California event venues, wineries especially, carry hard caps on event counts, guest numbers, and hours that vary property to property. Ask about both before you set a date.

The bottom line for your coverage: host a free bar and the fit is Host Liquor Liability, included at no extra cost with every event liability policy from RVNA, with the venue or permit office added as additional insured on your certificate. If drinks will be sold or admission charged, that’s separate Liquor Liability territory. Get Liquor Liability with RVNA event insurance or contact us and a specialist will point you to the right coverage. All coverage is subject to the terms, conditions, and exclusions of the issued policy.
